Certificates of analysis (COAs) are formal reports that summarize test results for a sample. In Lab Axiom you certify a sample to generate or update a COA, then distribute it to customers.
Certification workflow
Laboratory staff with certificate.create open Certify Sample from the sample view, review results, and certify when analysis is complete. See Certifying a sample and issuing a COA in Lab Axiom.
COAs can include sample details, test results, specifications, and lab branding. After release, you can correct data and re-certify—see Editability of COA in Lab Axiom.
Customer notifications
When you certify, you can notify the billing customer, designated COA customers, or other customers. Lab Axiom tracks notification status per certificate, including:
- Pending
- Sent
- Failed
- Unpaid (when payment is required before delivery)
- SkippedNoEmail (no email address available)
For step-by-step notification workflows (sample receipt and COA delivery), see Notifying customers about samples and certificates in Lab Axiom.
How notification status is determined
Each certificate's notification status is evaluated per COA customer — that is, separately for the sample's billing customer and for any additional COA customers on that sample. A single sample can show different statuses for different COA customers on the same certificate.
For each COA customer — the sample's billing customer or a Certificate of Analysis Customer — Lab Axiom checks two conditions in order:
First, payment eligibility. If that customer has Pay in Advance enabled and the sample's payment status is not Paid, the certificate line is marked Unpaid for that customer, and the email-eligibility check below is skipped.
Second, email eligibility. If the payment check passes (Pay in Advance is off, or the sample is Paid), Lab Axiom builds the recipient list from that customer's primary email (if one is on file) plus any contact on that customer's record with COA Notifications checked and an email address. If that combined list is empty, the certificate line is marked SkippedNoEmail.
Unpaid always takes precedence over SkippedNoEmail: if a COA customer has an outstanding balance under Pay in Advance, that line shows Unpaid even if no eligible email exists either — the email check never runs in that case.
If a certificate line shows SkippedNoEmail, confirm that the affected COA customer's own record has either a primary email on file, or a contact with COA Notifications checked and an email — checked on that specific customer record, not a different one linked elsewhere on the account.
See Notifying customers about samples and certificates in Lab Axiom for how to resend a certificate once payment or email eligibility is corrected.
